Privacy Policy — Clentrix

The short version: we collect what we need to run your account and nothing else. We do not sell personal information, and we never share mobile numbers or messaging consent with anyone for their own marketing. Your contacts belong to you, and we do not message them on our own behalf.

1. Who we are

Clentrix Solutions LLC operates the Clentrix platform and is responsible for the information described here. Contact us at admin@clentrix.com.

2. Two different kinds of information

It matters which is which:

Information about you, our customer — the person or business with a Clentrix account. We decide how this is used, and this policy explains it.
Information about your contacts — the leads and customers you load into Clentrix and message. You decide how that is used; we only hold and process it so the Service works for you. If one of your contacts wants their information corrected or deleted, they should contact you, and we will help you do it.

3. What we collect about you

Account details — name, business name, email address, phone number, and the business details needed for carrier registration.
Enquiries — anything you send us through the form on our website, including whether you ticked the box agreeing to receive text messages from us, and the time you ticked it.
Usage — how much you send, when you log in, and technical records such as IP address and browser, which we use to keep the Service secure and working.
Billing — what you bought and what you owe. We do not store card numbers.
Content — messages, call recordings and transcripts, contacts and notes created in your account.

4. Why we use it

To provide the Service, and to send messages and place calls on your instruction
To register your business with mobile carriers, which requires us to pass your business details to them and to our messaging provider
To bill you and keep financial records
To provide support and to reply to your enquiries
To keep the Service secure, and to detect misuse
To send you messages about your account, and — only if you agreed — marketing messages about Clentrix

5. Text messages from us

If you gave us your phone number and ticked the consent box, we may send you SMS about Clentrix. Message frequency varies. Standard message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Consent is not a condition of purchase.

Your mobile information and your consent to be messaged are never sold or shared with third parties for their own promotional or marketing purposes. Opting out of marketing does not stop necessary messages about your account.

6. Who we share it with

We do not sell personal information. We share it only with:

Telecommunications providers who carry your messages and calls, and the carrier registry that approves your registration
Our hosting provider, which stores the servers the Service runs on
Professional advisers or authorities, where the law requires it or to protect our rights

If our business is ever sold or merged, information may transfer with it, and this policy continues to apply until replaced.

7. Where it is stored, and for how long

Data is stored on servers in Germany, operated by our hosting provider. Messages, calls and contacts are kept while your account is open. When an account closes you may ask us to export your data for 30 days, after which it may be deleted. Some records — invoices, and records of consent — are kept longer where the law requires.

8. How we protect it

Access is restricted to those who need it. Credentials and passwords are encrypted at rest, connections are encrypted in transit, and databases are backed up daily with restricted permissions. No system is perfectly secure, and we cannot guarantee absolute security.

9. Your rights

You may ask us to show you the personal information we hold about you, correct it, delete it, or send you a copy. Write to admin@clentrix.com and we will respond within 30 days. Depending on where you live you may have further rights, including the right to complain to a data protection authority.

10. Children

Clentrix is a business tool and is not intended for anyone under 18. We do not knowingly collect information from children.

11. Cookies

We use a single cookie to keep you signed in. We do not use advertising or third-party tracking cookies on the Service.

12. Changes

We may update this policy. If a change materially affects you we will tell you by email or in the app. The date at the top shows when it last changed.
